Job Description

  • Coordinate daily benefits processing: enrollment into plans (adds, drops, and changes), ID cards requests, and assists employees with benefit claim inquiries.
  • Handle all aspects of the company’s 401(k) retirement plan. This includes processing new enrollees, loan requests, hardship loans, QDROs, incoming rollovers, withdrawals upon termination, compliance testing, and support of annual plan audit and required DOL filing.
  • Provide COBRA administration services for terminating employees, which includes preparing COBRA termination of benefits compliance documentation.
  • Record and respond to work-related employee injuries and illnesses. This includes collecting incident reports; filing workers’ compensation claims as needed; documenting work-related injuries and illnesses on required OSHA 300, 301, and 300-A logs; and posting annual notices of workplace injuries and illnesses.
  • Serve as primary contact for employees, plan vendors, and third-party administrators.
  • Coordinate transfer of data to external contacts for services, premiums, and plan administration.
  • Responsible for compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting (i.e. plan discrimination tests, 5500 filing, etc.) and fees.
  • Oversee maintenance of employee benefits files, maintain group benefits database, and update employee payroll records.
  • Work with brokers to research employee benefits plans and vendors to identify those that present the best value. Assist with the design, recommendation, and negotiation, and implementation of new benefits programs. Examine possible plan designs and benefits cost changes.
  • Assess and revise internal processes to reduce costs, increase efficiency, and customer care.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.
  • Allocate group health and dental claims monthly and review quarterly.
  • Analyze current benefits, evaluating the use, services, coverage, effectiveness, cost, plan experience and competitive trends in benefits programs, and identify the company's stance.
  • Perform plan audits. Prepare, collect and organize data for actuarial assessments. Review data in conjunction with external auditors.
  • Manage and oversee provisions of the Affordable Care Act and employees entitled to such coverage, as well as coordination of 1095 filings.
  • Review both short- and long-range cost estimates/projections and relevant statistical analysis regarding modifications in benefits plans and implementation of new plans.
  • Survey industry trends. Complete benefits surveys and review information obtained from the results. Analyze complex benefits information. Forecast trends and assist with future benefits designs. Develop specific recommendations for review by management.
  • Monitor administrative costs of benefits programs and recommend cost containment strategies, including alternative methods for administration and funding. Prepare budgetary recommendations and assist in the monitoring, verifying, and reconciling of budgeted funds.
  • Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits offerings.
  • Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions. Provide training and support to other HR team members.
  • Support wellness programs and initiatives as necessary.
  • Assists with general HR issues and provides other support to the department as needed.


  • Required prior experience with administration Medical, Dental, Vision, Short-term and Long-term disability, Life Insurance, 401(k) retirement plans, workers’ compensation, and other benefits. Preferred prior experience with administration of self-funded plans.
  • Preferred prior experience with international (Canada and United Kingdom) benefits administration
  • Preferred prior experience with Wellness Programs development and administration
  • 7 years min experience benefits administration and oversight
  • Moderate to advanced knowledge of Microsoft Office and specifically Excel
  • Knowledge of benefits contract language.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, Social Security, and DOL requirements.
  • Knowledge of Paycom HRIS helpful, but not required.
  • Associate's Degree or higher required.
  • SHRM-CP, or SHRM-SCP, and/or CEBS professional designations preferred.
